AHOC COVID-19 Safety Plan for AHOC event organisers
AHOC COVID-19 Safety Plan
This Covid-19 Safety Plan sets out how AHOC intends to conduct club operations whilst COVID-19 restrictions are in place. It provides guidance on the arrangements that AHOC’s Committee and event organisers are to apply when evaluating club events and when holding club events.
Club events may only be held, with the prior approval of the Committee, in accordance with the NSW guidelines and restrictions in place at the date of the event.
The Committee will consider wellbeing, physical distancing, hygiene and cleaning, and provisions for record keeping in evaluating whether an event should proceed.
Event organisers should demonstrate to the Committee that they can comply with the requirements set out below.
Wellbeing of members and visitors
- Exclude members and visitors who are unwell from the venue.
- Display conditions of entry at venue entry points.
- Strongly recommend wearing a face mask.
- Avoid the need for members to touch anything so far as is practicable, otherwise adopt the advised hygiene and cleaning practices.
Physical distancing
- The total number of people at any outdoor gathering and/or at a person’s place of residence should not exceed 20 at any one time.
- Attendees must have booked their place before attending an event.
- Capacity must not exceed one visitor per 4 square metres of space.
- Ensure any communal areas where people gather, such as BBQ, kitchen or workshop facilities, maintain capacity limits of one person per 4 square metres and appropriate physical distancing wherever practical.
- If there is on-site payment and/or collection, consider putting in place separate customer order and collection points.
- Reduce crowding wherever possible, such as by using markers on the floor.
- Where reasonably practical, ensure all present maintain 1.5 metres physical distancing at all time.
- If seating is provided, arrange it to comply with 1.5 metres of physical distance.
- Use telephone or video for essential meetings where practical.
Hygiene and cleaning
- Attendees should adopt good hand hygiene practices.
- Ensure bathrooms are well stocked with hand soap and paper towels or hand dryers. Provide hand sanitiser at entry and exit points.
- Reduce the number of surfaces touched by members and visitors wherever possible.
- Clean indoor hard surface areas frequented by members and visitors at least daily with detergent or disinfectant. Clean frequently touched areas and surfaces several times per day with a detergent or disinfectant solution or wipe.
- Maintain disinfectant solutions at an appropriate strength and use in accordance with the manufacturers’ instructions.
- All are to wear gloves when cleaning and wash hands thoroughly before and after with soap and water.
- Encourage participants to bring their own water bottle, snacks, etc. and encourage eating outside wherever practical.
- No self-serve buffet style. If food is provided one person should be allocated to serve food and practise hand hygiene before and after service.
- Clean cutlery and tableware with detergent and hot water.
- Avoid having printed materials available, and instead provide relevant information through digital channels such as email or website where this is practical.
- If onsite payment is required, limit the use of cash transactions by encouraging contactless payment options.
- If items are to be viewed, encourage visual inspection where practical. Provide hand washing facilities or hand sanitiser for customers to use before and after handling objects, including cars and parts. Have detergent or disinfectant wipes available to wipe objects regularly, where practical.
Record keeping
- Keep a record of name and a mobile number or email address for all persons present at the Club event for a period of at least 28 days. For family groups, one contact is sufficient to support contact tracing. Ensure records are used only for the purposes of tracing COVID-19 infections and are stored confidentially and securely.
- Make your members aware of the COVIDSafe app and its benefits to support contact tracing if required.
- Cooperate with NSW Health if contacted in relation to a positive case of COVID-19 at your event and notify SafeWork NSW on 13 10 50.
